Resource availability: blocks and published agenda
This guide shows you how to control exactly when each resource can be booked: block your holidays or a few odd hours, and — if you prefer — publish yourself the only slots you want to offer, the way a clinic or a teacher releases appointments.
Prerequisites
✅ Administrator role: You need Admin or Manager permissions in your organization. ✅ Admin mode on: You'll see the "A" badge on the Dashboard. ✅ At least one resource created: Availability is configured per resource.
No PRO subscription needed: this feature is available to every organization.
1. Open the availability calendar
- On the Dashboard in Admin mode, go to Resources.
- Every resource in the list has a calendar icon on the right. Tap it to open its availability calendar ().
The day view tells you everything at a glance ():
- Bluish background: your regular hours (the context you decide on).
- Diagonal stripes: blocked ranges — nobody can book there.
- Green: published slots (they only count in "Published only" mode).
- Gray: existing bookings.
2. Block holidays or a time range
A block prevents new bookings in that range, no matter what: it works in any mode and also on capacity-based class resources.
A range of hours
- Tap an empty spot in the day: a 1-hour proposal appears with two round handles ().
- Drag the handles to adjust start and end (they snap every 30 minutes, with a small vibration on each step).
- You can also press and hold, then drag to paint the range in one go.
- Tap Continue on the bottom bar: the sheet opens with the two actions ().
- Choose Block, add a reason if you like (only you see it) and confirm.
One or several full days (holidays)
- Switch to the Month view with the toggle at the top.
- Tap the first day of the range and then the last one: the whole range gets highlighted ().
- The sheet opens with "All day" already on and the dates filled in. Choose Block and confirm.
If the range already has bookings
The app tells you before creating the block, with the exact number ():
"It contains 2 confirmed bookings. The block will prevent new bookings but won't cancel existing ones."
A block never cancels existing bookings. If you need to cancel them, do it one by one from the calendar or the bookings list, so each person gets their notification.
Undo and delete
- Right after creating or deleting a range, the bottom toast has an Undo button.
- To delete later: tap the range on the calendar, or find it in the "Upcoming blocks and slots" list at the bottom of the page.
3. The published agenda: offer only the slots you decide
This mode is meant for clinics, teachers or any activity where you don't want to offer your whole schedule, but rather release specific slots.
Turn it on
- At the top of the availability calendar, switch the selector from "Regular hours" to "Published only" ().
- Confirm the notice: from that moment, only the ranges you publish can be booked; your weekly schedule stops offering slots.
Until you publish something, the calendar itself reminds you: "You haven't published any slots: right now nobody can book" ().
Publish slots
Exactly like blocking — tap, paint or month view — but choosing "Publish for booking" in the sheet. Published slots are painted green.
Two useful details:
- You can publish outside your regular hours (for example, 22:30–23:30): what you publish rules.
- Two adjacent published ranges (9:00–10:00 and 10:00–11:00) work as one: someone can book from 9:00 to 11:00.
Back to regular hours
When you switch back, the app warns you about what matters: your entire weekly schedule becomes bookable again (minus blocks), and published slots aren't deleted — they're kept in case you return to this mode.
4. The "Available agenda" card on the Dashboard
If any resource is in "Published only" mode, the Dashboard in Admin mode shows a card answering every morning's question: do I still have something to offer? ()
- Free slots, reserved slots and the next free slot over the next 30 days.
- A per-resource breakdown if you have several published.
- Amber alarm when a resource runs out of slots.
- The "Publish more availability" button takes you straight to the resource's calendar.
The card updates by itself: when someone books, the counter goes down without refreshing. And if you don't use the published agenda, the card doesn't show at all.
5. Capacity-based class resources (sessions mode)
If your resource works with sessions (classes with places), its weekly template already is a published agenda: students only see the sessions you defined. That's why:
- Blocks do work: block the day or the range and those sessions disappear from the student's picker. Perfect for holidays or cancelling one day's class.
- The mode selector doesn't appear: "Published only" doesn't apply, because it would duplicate what the session template already does.
6. What the person booking sees
The person about to book only sees the slots they can actually book ():
- Blocked hours aren't shown.
- In "Published only" mode, only your published ranges are shown.
- A fully blocked day disappears from the date picker.
No reason is exposed (nobody sees "the admin is on holiday"): those hours simply don't exist for booking. The reason you write on a block is private, admins only.
Frequently asked questions
Does blocking cancel the bookings that already existed? No, never. A block prevents new bookings; existing ones stay alive, and the app tells you how many there are before you confirm.
If I switch back from "Published only" to "Regular hours", do I lose what I published? No. Published slots are kept (you'll see them on the calendar); they just stop applying until you turn the mode on again.
Why doesn't my class resource have the mode selector? Because it works with sessions and its weekly template already defines exactly what can be booked. Use blocks to remove days or hours.
Can I publish slots before turning on "Published only"? Yes. You can prepare your agenda by publishing in advance; those ranges have no effect until you activate the mode.
Do blocks require a PRO subscription? No. The whole availability control is available to every organization.
