The Notifications tab provides comprehensive control over how and when your organization sends notifications to members and administrators. Configure notification types, delivery channels (Email, Push, In-App), target roles, and quiet hours to ensure timely communication without overwhelming users.

Prerequisites

  • Active Reserving account with verified email
  • Administrator role (Super Admin, Admin, or Manager) in the organization
  • App must be in Admin mode
  • Understanding of your organization's communication needs
  • For push notifications: Users must have granted push permissions in their device settings
  • For email notifications: Users must have verified email addresses

Navigate to Admin mode in Dashboard

Interactive States

Notification Type Cards

Each notification type displays as an expandable card:

  • Header: Notification name and enabled toggle
  • Collapsed state: Shows only name and toggle
  • Expanded state: Reveals role selectors, channel toggles, and test button
  • Enabled indicator: Green toggle when ON, gray when OFF

Role Selector Chips

Target role selection using chip interface:

  • Chip colors: Admin (primary), Manager (secondary), Member (tertiary), Guest (medium)
  • Active state: Solid background, white text
  • Inactive state: Outline only, colored text
  • Tap to toggle: Can select multiple roles simultaneously

Channel Toggle Section

Three independent toggles for delivery methods:

  • Email: Envelope icon, sends to registered email
  • Push: Bell icon, sends mobile push notification
  • In-App: App icon, shows in notification center
  • At least one channel must be active if notification is enabled
  • All toggles show green when ON

Quiet Hours Section

Time-based notification suppression:

  • Master toggle: Enables/disables quiet hours feature
  • Start time picker: 24-hour format, defaults to 22:00
  • End time picker: 24-hour format, defaults to 07:00
  • Warning indicator if quiet hours span more than 12 hours

Floating Save Button

Bottom-right action button with states:

  • Default: Blue, shows save icon
  • Unsaved changes: Pulsates with animation
  • Saving: Shows spinner, disabled
  • Saved: Brief checkmark animation, then returns to default

Tips

  • Enable In-App notifications for all types - they're non-intrusive and always visible
  • Use Email for critical notifications (reservation confirmations, cancellations)
  • Reserve Push notifications for time-sensitive alerts (reservation starting soon)
  • Test each notification type after configuration to verify delivery
  • Enable quiet hours (22:00-07:00) to respect users' rest time
  • Limit Admin-only notifications to truly administrative events
  • Send member notifications for events that affect their reservations
  • Don't enable all notification types - select based on actual needs
  • Review notification settings quarterly and adjust based on feedback

Warnings

  • Disabling critical notifications (reservation confirmations) may cause user confusion
  • Too many notifications lead to user fatigue and opt-outs
  • Email notifications may be marked as spam if sent too frequently
  • Push notifications require explicit user permission - many users deny this
  • Quiet hours apply to all notification types - urgent alerts are also queued
  • Changes take effect immediately - test carefully before saving
  • Users can override organization settings with personal preferences
  • Changing notification settings doesn't resend past notifications
  • In-App notifications accumulate - users must clear them manually

Troubleshooting

FAQ

What's the difference between Email, Push, and In-App notifications? Email sends messages to user's email inbox. Push sends mobile notifications that appear even when app is closed. In-App shows notifications only when user opens the app. Each serves different urgency levels.

Can users opt-out of notifications? Yes, users can configure their personal notification preferences in their profile settings. They can disable specific types or channels while keeping others active.

Do quiet hours delay urgent notifications? Yes, ALL notifications are queued during quiet hours, including urgent ones. If you need immediate delivery for critical events, don't enable quiet hours or keep the window short.

Can I test notifications without enabling them for everyone? Yes, use the test button on each notification type. This sends a sample to your admin account only, allowing you to verify channels and content before enabling for all users.

What happens to queued notifications during quiet hours? They're held in queue and delivered in batch when quiet hours end. If multiple notifications are queued, they're sent together which may overwhelm users.

Why aren't push notifications working? Push requires: 1) User granted permissions in device settings, 2) User is logged in, 3) Push channel is enabled, 4) App is installed (not just web). Check all four.

Can different roles receive different notification channels? No, channels apply to all selected roles for that notification type. If you need different channels for different roles, you'd need to create separate notification types.

How do I reduce notification overload? Disable non-essential types, use In-App for less urgent updates, enable quiet hours, target specific roles only, and encourage users to customize their preferences.

Are notifications sent in user's preferred language? Yes, notifications use the user's language preference setting. Content is automatically translated to their selected language.

Can I customize notification message content? Not directly in this interface. Notification templates are standardized. For custom messages, use the announcement feature or direct communication.
