What is Reserving?

Reserving is a comprehensive reservation and event management platform designed for organizations such as sports clubs, residential communities, cultural centers, and shared spaces. It allows users to book resources (tennis courts, meeting rooms, pools, etc.) and register for events and workshops efficiently.

The application offers differentiated interfaces for end users and administrators, automatically adapting to each user's role and organizational context.

On which platforms is Reserving available?

Reserving is available on:

  • iOS: Download from the App Store
  • Android: Download from Google Play

The mobile application is developed with Capacitor 5, offering a native experience with access to advanced features such as push notifications and BLE access control.

Is Reserving free?

Yes, Reserving offers a complete free plan that includes:

  • Complete reservation system
  • Event management and registrations
  • Unified calendar
  • Push notifications
  • BLE access control with ReservingLock devices
  • Multi-language (11 supported languages)
  • Purchase and use of credit vouchers

Account and Authentication

How do I create an account on Reserving?

You can create an account in two ways:

  1. Traditional registration: Provide your name, email, and password. You will receive a verification email.
  2. Google Sign-In: Access directly with your Google account.

Both methods create a complete profile with access to all free features.

I forgot my password, what do I do?

On the login screen, select "Recover password". Enter your email and you will receive a link to create a new password.

Can I change my language after registering?

Yes, you can change the language at any time from your profile. The preference automatically syncs with all your devices.

Can I delete my account?

Yes, from the Profile section you can request permanent deletion of your account. This action cannot be undone and you will lose all your data, reservation history, and memberships.

Reserving complies with GDPR (General Data Protection Regulation) and will completely delete all your personal information.

Reservations

How do I make a reservation?

  1. Navigate to Dashboard or Explore tab
  2. Select the organization or resource you want to book
  3. Tap the "Book" button
  4. Select date, time, and duration
  5. Confirm the reservation

You will receive a confirmation notification and the reservation will appear in your calendar.

Can I cancel a reservation?

Yes, from your calendar or list of upcoming reservations you can cancel a reservation. Note that some organizations may have specific cancellation policies.

What are resources?

Resources are the facilities or spaces available for booking within an organization. For example:

  • Tennis or padel courts
  • Meeting rooms
  • Pools
  • Yoga studios
  • Common areas

Each resource has its own availability, schedules, and (optionally) prices configured by the organization.

Can I book multiple resources at once?

Currently, reservations are made individually per resource. However, you can easily create multiple consecutive reservations from the calendar.

Why can't I book a specific resource?

This may be due to several reasons:

  • The resource is occupied at that time
  • There is an event blocking that resource
  • You don't have sufficient permissions in the organization
  • The resource requires payment and you haven't completed the process
  • The organization has temporarily disabled that resource

Check with the organization administrator if the problem persists.

Events

What is the difference between a reservation and an event?

  • Reservation: Individual occupation of a resource by a user for a specific time slot.
  • Event: An organized activity (workshop, class, competition) where multiple users can register. Events can have limited capacity and block resources.

How do I register for an event?

  1. Navigate to the calendar or events tab
  2. Select the event of interest
  3. Tap "Sign up" or "Register"
  4. If the event requires payment, complete the payment process
  5. You will receive confirmation of your registration

What are recurring events?

Recurring events are activities that repeat according to a pattern (daily, weekly, monthly). For example:

  • Yoga classes every Monday at 6:00 PM
  • Monthly tournaments on the first Saturday of each month

You can register for individual instances or view all occurrences in the calendar.

Can I cancel my registration for an event?

Yes, generally you can cancel your registration from the event details view. Keep in mind:

  • Some organizations set a deadline for cancellations
  • If the event required payment, check the organization's refund policy

What does "limited capacity" mean in an event?

It means the event has a maximum number of participants. Once capacity is reached, no more registrations are allowed. Register early if you're interested.

Organizations

What is an organization in Reserving?

An organization is an entity that manages resources and events. It can be:

  • A sports club
  • A residential community
  • A cultural center
  • A coworking space
  • A gym
  • Any space with shared resources

Each organization has its own resources, events, members, and administrators.

How do I join an organization?

It depends on each organization's configuration:

  • Public organizations: You can join directly from the Explore tab
  • Private organizations: You need an invitation from the administrator
  • Code-based organizations: Enter the access code provided by the organization

Can I belong to multiple organizations?

Yes, you can be a member of multiple organizations simultaneously. Use the organization selector in the Dashboard to easily switch between them.

What do the different roles in an organization mean?

Roles are specific to each organization. You can be ADMIN in one and MEMBER in another.

How do I create my own organization?

  1. Go to your Profile or Organizations section
  2. Select "Create organization"
  3. Complete the basic information (name, description, location)
  4. Configure your initial resources
  5. Invite the first members

As the creator, you will automatically be ADMIN of the organization.

Vouchers and Payments

What are vouchers?

Vouchers are prepaid credit packages that you can purchase in an organization. They are used to:

  • Pay for reservations without individual transactions each time
  • Get bulk purchase discounts
  • Simplify the payment process

Example: You buy a 10-credit voucher, each reservation consumes 1 credit.

How do I buy a voucher?

  1. Navigate to the organization where you want to buy vouchers
  2. Go to the Vouchers or Tickets section
  3. Select the package you want
  4. Complete payment with card (Stripe)
  5. The voucher will appear in "Your Vouchers" in the Dashboard

Do vouchers expire?

It depends on the type of voucher. Some have an expiration date configured by the organization. Always check:

  • Expiration date
  • Remaining credits
  • Usage restrictions (if it only applies to certain resources)

This information is available in the detail view of each voucher.

Can I use a voucher in multiple organizations?

No, vouchers are linked to the organization where you bought them and can only be used for its resources.

What payment methods does Reserving accept?

Reserving uses Stripe Connect to process payments, which allows:

  • Credit/debit cards
  • Apple Pay
  • Google Pay
  • Bank transfers (depending on organization configuration)

Payments are secure and your card information is never stored on Reserving servers.

PRO Mode

What is PRO mode?

PRO mode is an individual subscription that allows organization administrators to monetize their facilities through:

  • Charges for resource reservations
  • Paid events with registrations
  • Sale of credit vouchers
  • Real-time revenue analytics
  • Point of sale (POS) system
  • Automatic invoicing

How does the PRO subscription work?

The PRO subscription is per user, not per organization. If you are an administrator and purchase PRO:

  • You can manage multiple organizations with PRO features
  • The subscription is acquired via In-App Purchase on iOS/Android
  • PRO benefits are only activated if you are ADMIN of the organization

Formula: PRO Benefits = PRO User + ADMIN Role in the organization

How much does PRO mode cost?

The price varies by platform and region:

  • Check the App Store (iOS) or Google Play (Android) for updated prices
  • Generally offered as monthly and annual subscription
  • Free trial period exists in some regions

What is the platform commission?

When you monetize an organization with PRO mode, Reserving charges a commission on processed transactions:

  • Default commission: 5% on each transaction
  • Applies to: paid reservations, paid events, voucher sales
  • Payments go directly to the organization's Stripe Connect account
  • Stripe also applies its own processing fees

Do I need to configure anything else to collect payments?

Yes, in addition to the PRO subscription you need:

  1. Complete Stripe Connect onboarding:

    • Go to Organization Settings → Payments
    • Start the verification process with Stripe
    • Provide banking and tax information
    • Wait for approval (usually 24-48 hours)
  2. Configure prices:

    • Assign prices to resources (euros per hour, for example)
    • Configure event prices
    • Define voucher packages with their prices

What analytics are available in PRO mode?

The PRO Analytics Dashboard includes:

  • Gross and net revenue: Total and after commissions
  • Transaction metrics: Number of paid reservations, events, and registrations
  • Trend charts: Revenue evolution over time
  • Conversion analysis: Conversion rates for reservations and events

Access Control (ReservingLock)

What is ReservingLock?

ReservingLock is a physical access control system via Bluetooth that allows:

  • Automatically unlock doors when you have an active reservation
  • Manage access without physical keys
  • View a complete access history
  • Access controlled by custom policies

It is a free feature included in Reserving for all organizations.

How does pairing a ReservingLock device work?

The pairing process is quick and easy:

  1. The administrator activates pairing mode on the device
  2. Open the Reserving app and go to Access Control
  3. The app automatically detects the nearby device
  4. Tap "Pair" and wait for confirmation
  5. A green light indicates successful pairing
  6. The device is ready to use in less than 10 seconds

The entire process is protected with high-security encryption to protect your privacy.

What security does ReservingLock have?

ReservingLock uses military-grade encryption technology to protect your security:

  • Completely encrypted communication between your mobile and the device
  • Unique credentials for each device that cannot be copied
  • Limited pairing window (only 2 minutes available)
  • Prevention of unauthorized access attempts
  • Complete log of all accesses with date and time

Do I need special hardware?

Yes, you need ReservingLock devices for access control. These devices include:

Can I manage multiple devices?

Will I receive reminders of my reservations?

Can I disable notifications?

Why am I not receiving notifications?

Geolocation helps you discover relevant facilities in your area.

Can I search with artificial intelligence?

Yes, the Reserving Help Center includes a semantic AI search widget that allows you to:

  • Ask questions in natural language
  • Get contextual answers from documentation
  • View citations and sources
  • Support in 7 languages (EN, ES, CA, PT, FR, DE, IT)

It is available in the lower right corner of the web documentation.

How do I add organizations to favorites?

  1. Navigate to the organization page
  2. Tap the heart/favorite icon
  3. The organization will appear in your Favorites section in the Dashboard

Technical Issues

The application loads slowly

Possible solutions:

  • Check your Internet connection
  • Clear the application cache (Settings → Storage)
  • Update to the latest available version
  • Restart the application
  • If on web, try from the mobile app (generally faster)

The Dashboard uses intelligent cache (TTL) to minimize loading times.

I can't log in

Check:

  • That you're using the correct email
  • That your password is correct (case-sensitive)
  • If you used Google Sign-In, log in with Google again
  • That your account is verified (check your email)
  • That you're not on a network with a restrictive firewall

If you forgot your password, use the "Recover password" option.

My reservation doesn't appear in the calendar

This may be due to:

  • Active filters in the calendar (check that you're not filtering by organization)
  • Outdated calendar cache (swipe down to refresh)
  • The reservation was created in another organization
  • The reservation was canceled by an administrator

Check your "Upcoming reservations" section in the Dashboard to confirm.

The "Book" button doesn't work

Possible causes:

  • The resource has no configured availability
  • Your role in the organization doesn't allow reservations
  • The resource requires payment and your payment method is not configured
  • There is an event blocking that resource at that time
  • The organization has temporarily disabled reservations

Privacy and Security

What personal data does Reserving store?

Reserving only stores:

  • Profile information: name, email, photo (optional)
  • Preferences: language, notifications
  • Reservation history and event registrations
  • Organization memberships
  • Device tokens for push notifications

Credit card data is not stored (managed by Stripe).

Does Reserving comply with GDPR?

Yes, Reserving fully complies with the General Data Protection Regulation (GDPR):

  • Right of objection

You can completely delete your account from your profile, which triggers an automated process of anonymization and deletion of personal data.

Is my payment information secure?

Yes. Reserving uses Stripe, a global leader in payment processing:

  • Card data never passes through Reserving servers
  • TLS encryption on all transactions

Reserving never sees or stores your card numbers.

Who can see my reservations?

  • Other users: CANNOT see your reservations (except public events where you registered and the organization allows viewing participants)

Reservations are private by default.
